Who we are

Kaien is a scheduling product run by a solo founder out of Pune, India. We help people share their availability and let others book time with them — without the back-and-forth. The product lives at kaien.app and the marketing site at getkaien.com.

What we collect

Your account.When you sign up, we collect your name, email address, and Google account ID via Google OAuth. We don't store your Google password — authentication is handled entirely by Google.

Your calendar.When you connect Google Calendar, we receive read/write access to your calendar events. We use this only to check your availability and create booking events on your behalf. We don't read, store, or process the content of meetings unrelated to Kaien.

Your invitees. When someone books time with you, we collect their name, email address, and timezone. This is the minimum needed to send confirmation emails and create the calendar event.

Technical data. We collect IP addresses, browser type, device type, and page-view data for debugging and understanding overall usage. We use Google Analytics 4 (GA4) to measure traffic and user behaviour on the site, and Google Search Console (GSC) to understand how the site appears in search results. GA4 may set cookies and collect data that is processed by Google. We also use Vercel Analytics, which collects anonymised performance and usage data at the infrastructure level.

How we use it

We use your data to run the product: showing your bookings, sending confirmation and reminder emails, generating Google Meet links, and keeping your calendar in sync. We use your contact details to reply to support requests. We use technical logs to detect abuse and keep the service secure.

We don't sell your data. We don't share it with advertisers. Full stop.

We use a small number of subprocessors to run the product: Vercel for hosting and anonymised performance analytics, Supabase for the database, Resend for transactional email, Razorpay for payments, and Google for OAuth, the Calendar API, Google Analytics 4, and Google Search Console. Each of these has their own privacy policy and data processing terms.

Data retention

We keep your account data for as long as your account exists. If you delete your account, we delete your data within 30 days. Some database backups may persist for up to 90 days after deletion, after which they're rotated out automatically.

Booking metadata for your invitees — the people who book time with you — is kept for as long as your account exists, then deleted along with it.

Your rights

You can access, correct, or delete your data directly from your account settings. You can also export all your bookings as a CSV from the same place.

For requests we can't handle in-app, email privacy@getkaien.com and we'll respond within 30 days.

Under India's Digital Personal Data Protection Act 2023 (DPDP Act) and the EU's General Data Protection Regulation (GDPR), you have rights to access, rectification, erasure, portability, and to lodge a complaint with a regulator. If you're in India, the relevant regulator is the Data Protection Board of India.

Cookies and tracking

We don't use third-party advertising cookies. We use a small number of essential cookies for authentication and session management — these are necessary for the product to work and can't be opted out of while using Kaien.

For analytics, we use Google Analytics 4 (GA4)to understand usage patterns — things like which pages are visited, session duration, and where traffic comes from. GA4 uses cookies (including _ga and related cookies) and may associate data with a Google-generated client ID. You can opt out of GA4 tracking by installing the Google Analytics Opt-out Browser Add-on, or by adjusting your browser's cookie settings.

We also use Google Search Console (GSC)to monitor how our site appears in Google Search. GSC does not place cookies on your device — it processes data Google already collects as part of its search index.

Vercel Analytics collects anonymised, aggregated performance data (e.g. page load times, Web Vitals) at the infrastructure level. It does not use cookies or track individuals across sites.

Children

Kaien is not intended for users under 18. We don't knowingly collect personal data from children. If you believe a child has provided us with their data, please contact us at privacy@getkaien.com and we'll delete it promptly.

Security

We use industry-standard encryption: HTTPS everywhere, encrypted database at rest, and hashed credentials. We don't store calendar event content beyond what's needed to create and manage bookings.

No system is perfectly secure. If we discover a breach that affects your data, we'll notify you within 72 hours of becoming aware of it.

Changes to this policy

We'll update this page when something material changes. If the change affects your rights or how we use your data in a meaningful way, we'll email you. The “Last updated” date at the top will always reflect the most recent revision.
